Electronic Brainstorming - An Innovative Framework



1. Introduction

Brainstorming is a group creativity activity designed to generate a large number of raw ideas in order to derive the solution to a problem.

1.1 Background: During the late 1930 's and early 1940 's, advertising director Alex Osborn developed a technique for generating new product slogans and ad campaign ideas amongst his employees. He would meet with his group around a table, outline the problem and then have them generate ideas willy-nilly. Out of the scores of ideas generated, a few would turn out to be real gems. This idea-generating activity evolved and became to know as "brainstorming" and top companies and creative individuals all around the world are still using it. In 1953 the method was well popularized by Alex Faickney Osborn in a book called Applied Imagination. Osborn proposed that groups could double their creative output with brainstorming. ( Osborn A F, 1963)

1.2 Advantages: Some of the major advantages of the Brainstorming are as follows

(a) One can use it to generate superlative ideas for business or any other activity that one is involved in, either through traditional group brainstorming sessions or through solo 'wildcatting' brain storm sessions.

(b) Allows one to generate a large quantity of ideas in a short period of time.

(c) Aims to bypass the logical 'censor' mind and access the more creative parts of one's brain.

1.3 Disadvantages of Brain Storming

Some of the disadvantages of the Brainstorming exercise are as follows:

(a) In a group, participants have to listen to others and may spend time repeating their ideas until they get sufficient attention.

(b) Advising participants to let others speak without making them feel offended or intimidated can be difficult.

(c) Participants, with the ability to express their ideas faster and more effective, gain the general attention of the group. Some form of leadership can be formed in this way within the group, which might make participants feel intimidated.

(e) On the one hand, people are not very skilled at controlling their non-verbal reactions and might influence the creativity of others with their posture, gestures or facial expressions. On the other hand, attempting to control their non-verbal behavior might inhibit their own creativity.

Numerous attempts have been made to improve brainstorming or use more effective variations of the basic technique. From these attempts to improve brainstorming, electronic brainstorming emerged out. Mainly through anonymization and parallelization of input, electronic brainstorming enforces the ground rules of effective brainstorming and thereby eliminates most of the deleterious or inhibitive effects of group work.

2. Electronic Brainstorming

In a sophisticated environment, Electronic brainstorming often employs special software that collects one's ideas in a group and shares them with other group members to promote faster collaboration. Professor Alan Dennis and Bryan Reinicke, an Indiana University doctoral student in information systems, surveyed a group of managers and professionals enrolled in the Kelley School's part-time MBA program in Indianapolis and asked them about how they prefer to brainstorm ideas. In that survey with a sample of 131 professionals, most did not see any qualitative benefits in using electronic brainstorming tools, including people who had used them. This finding provided the initial momentum towards yet another creative thinking. ( IU Homepages, Indiana University dated 20 Aug 2004).

3. An Innovative way of Electronic Brainstorming - A new Concept

Getting into innovative patterns of teaching and learning is an evolution. While numerous sessions of traditional brainstorming were undertaken since 2006 with different category of participants, be it defense personnel, Management students, Chartered Accountants or corporate professional, one very important issue that was observed was that of vociferousness. As brainstorming targets quantity rather than quality, the so called vociferousness is inevitable. Albeit, the situation has never been out of control, it was indeed a challenging situation at times. This provided the stimulation to think out of box and create a different pattern in the structure of traditional as well as Electronic Brainstorming. Thus evolved Electronic Brainstorming ( E-Brainstorming) with a difference. Here the technology that is implied is Grass root technology.

4. Grass root Technology

A Technology that has "low tech" and "low cost" could be possibly termed as Grassroot technology. In order to define a little bit more on the focus of Grassroots, here are some of its characteristics.

(a) All necessary materials are locally available,
(b) Only an Internet connectivity and the IP messaging system needs to be installed.
(c) People don't need special or high tech knowledge,
(d) No or a few external resources are necessary,
(e) Users can apply and operate widely on their own,
(f) A very limited or no environmental impact is caused.

In fact, Many variations of creativity laboratories have been already experimented. Some of the prominent ones are

(a) Text messaging services like Google Messenger, Yahoo Messenger, etc.
(b) video/Web conferencing using Skype.

The primary objective was to generate creative thinking among the participants under a limited sophistication i.e unlike the actual E-Brainstorming where one makes use of specific Software and generate new ideas among the participants as indicated earlier or Brainstorming carried out on virtual basis where the participants could be net connected across locations. Ultimately generating ideas in real sense of originality without making use of worldly ideas which are easily available by a click of a button is the essence.

5. Shaping the Concept

Keeping in view the objectives such as Stimulating one's thoughts towards specific issues, accelerating original thinking capabilities, providing opportunity for exploring creativity, avoiding vociferous situation, Inducing fun learning through effective use of Grass root technology, the innovative concept in the E-Brainstorming was framed and is a step towards achieving resource utilization and creating a benchmark in the discussion arena.

In order to give shape to the innovative concept, a pilot study of the first E- Brainstorming session was conducted for the General Management and Communication Skills ( G M C S) batch of Jan 2009 comprising of 50 practicing and potential Chartered Accountanta. And the response from this batch was phenomenal. It provided the author with the much needed fillip to proceed further. Two years down the line, the journey for the innovative E-Brainstorming activity was never ending but rather was given facelift in its facilitation based on the feedback generated. And if one start pondering on what all is that innovation in this brain stimulating but non storming session which normally goes anywhere between 90 minutes and 200 minutes, the answer is in the modus operandi that was formulated and appended below.

5.1 Initiation

The first step is to create an understanding of the requirement to think differently. In order to reach this to the participants, a short exercise such as the following could be given.

Following a specific pattern, What would be the next sequence?
The above exercise has been identified to get resolved by roughly about 2% of the participants which justified the primary objective of such an innovative session.

5.2 The Instrument

The Instrument that is being used to conduct the exercise is a technique called Internet Protocol (IP) Messaging System and this system has been the driver of this E- Brainstorming exercise. Let us know What exactly is this IP Messaging system.

5.3 IP Messaging System

Many of us must be familiar with the Instant Messaging (IM) services that are provided by various Internet portals. IM services have historically been PC based although they have begun to penetrate into wireless domain. For the rationale of this article, IP messaging refers primarily the IM like services that run over Internet Protocol networks.

5.4 Registration

As the entire structure of the session is woven around the technique involving IP messaging system, the first step towards the above mentioned exercise is creating a familiarization of the IP messaging concept along with registration method to all the participants in the Lecture hall before entering in to the modalities of the exercise to be carried out in a Computer Laboratory.

5.5 Creating Unique Identity

As a part of the registration, every participant segmented into different groups is required to create an unique identity in a specific format say the group 1 team leader creates the identity Group 1 TL and the first member as Group 1 A and so on. This creation of identity is utilized towards framing the user name and group name in the registration process. By following a specific format, the entire registration process is standardized and free of Conflicts in the IP system.

5.6 Demonstration and Instructions

Once the creation of identity is completed, a demonstration of the working is carried out in order to get a feel and familiarization of the entire exercise among the participants. Specific Instructions which are appended below are passed on to the participants at this point in time.

(a) Participant member of each group will only interact with the Group Team Leader and not with any one else.
(b) The Group Team Leaders will interact with their respective member participants only and with the Moderator.
(c) No participant will turn on to internet or the information available thereon. This is a mandatory rule in order to stimulate original thoughts among the participants.
(d) Each Participant member can keep sending the original thoughts to the Team Leader and in such case the Team Leader may create an open file to save those ideas or the Participant member himself/herself may create an open file and towards the end may transfer the open file with the ideas collated to the Team Leader.

5.7 Actual Working

After the demonstration and subsequent clarifications, if any, the participants are instructed to proceed to the Computer Lab and to take position one on one with a Personal Computer. Here care needs to be taken that the group members get the position at random and do not cluster at same place. As per the instruction, each participant completes the registration and confirms readiness for the exercise.

5.8 Silent Discussion Topics

Each group is provided with TWO DIFFERENT WORDS which each participant of the group along with the Group TL requires to associate in all possible creative ways using original thinking only. They are encouraged to think out of box. Say for example CAR & BALLOON, DIGITAL & PHYSICAL WORLD etc. The time duration for the exercise is stipulated as 20 minutes and within this time duration, each group collates the ideas through its Team Leader. In the mean time the moderator also registers and moderates the exercise through his interaction with the Team Leaders only. The entire exercise takes place in absolute pin drop silence. A Silent discussion intra group. Isn't?

At the end of the stipulated time duration all the participants sans the Team Leaders are instructed to close the PC and proceed to the Lecture hall. An additional 5 minutes is allotted to all the Team Leaders to consolidate their respective collated ideas or the documented open file into a presentable format. This document is then forwarded to the moderator ( the author ) for record and evaluation.

5.9 Interaction

The moderator prepares two copies of the report submitted by the Team Leaders. One copy for the group and the other for the purpose of evaluation. Each group then takes turn to describe the ideas as generated by the member participants. In order to create a competitive environment, the description is subjected to defense and challenges and also subjected to peer evaluation. The group with highest evaluation rating is declared ultimate out of box thinkers.

5.10 Outcome
Upon successful interaction and ultimate thinking, quite a few innovative and out of box thinking have emerged such as Balloon lifting the Cars during traffic congestions ( based on the two words CAR & BALLOON), An artificial refrigerated closed beach ( based on the two words REFRIGERATION & BEACH) and the exercise of E-Brainstorming using IP messaging system ( using the words DIGITAL WORLD & PHYSICAL WORLD).

6. Limitations

The above described effort has a major limitation in the Technological front. As Internet Protocol (IP) system is completely dependent on the internal Network system, any technological failure or system break down will certainly lead to disruption and discontinuity in the E-Brainstorming exercise.

7. Conclusion

This exercise is motivated to fulfill the objectives such as Stimulating one's thoughts towards specific issues, accelerating original thinking capabilities, providing opportunity for exploring creativity, avoiding vociferous situation which leads to the situation being uncontrollable at times, collation of quality ideas and thoughts which many a times give a slip during the traditional Brainstorming exercises and also Inducing fun learning through effective use of Grass root technology. This initiative is also a step towards achieving resource utilization and creating a benchmark in the discussion arena.

Computer Recycling

MICR Technology and Its Usage in Check Printing




Everything in life comes from somewhere, and those odd, hieroglyphic-looking symbols at the bottoms of checks are no exception.

Seemingly invented to obfuscate, MICR or Magnetic Ink Character Recognition as it's formally known, "is the common machine language specification for the paper-based payment transfer system," as one Web site puts it. Or to put it in simpler terms, the numbers help checks and other financial documents get where they need to go.

So why do the numbers look the way they do? They're designed to be readable at a high rate of speed, magnetically scan-able off of shapes that each unique number creates and printed in either a CMC-7 or E-13B Font (which, on an interesting side note, became a precursor to modern computer fonts in the 1960s.)

The MICR numbers are optimized as they are for quick recognition since financial institutions can face a heavy volume of transactions in a given day, and the numbers ensure that checks and other documents get processed quicker, making funds available more immediately. They're vital for efficiency, and with a read rate of better than 1 percent, they're more reliable than other codes. This helps minimize fees for rejected checks and extraneous processing.

MICR check printing is a process in itself with two basic options. Blank check stock can be ordered with pre-printed numbers. The other option is to order fully blank checks and print the numbers from an office or home with the help of check printing software. Special MICR toner will also be needed so that the checks can be produced from a laser printer, though companies that offer the software typically have the toner as well. It is admittedly harder to find MICR cartridges for ordinary ink jet printers, since there can be a high amount of inconsistency.

The toner or magnetic ink often has iron oxide in it, and as the printing occurs, the checks are impacted by a so-called MICR read head, which has the same effect on the checks as a tape recorder playback device, creating a wave on the check which makes the numbers readable.

Looking at a check or other financial document, the MICR on them may look like impenetrable symbols, and in a sense they are, providing security in their inscrutability at least to newcomers. Who hasn't ever stared at a blank check while attempting to fill out a direct deposit form for a job, finally going online to Google what the numbers mean?

But it's not difficult to get an understanding of MICR numbers and harness their power. In fact, as opposed to bar codes (the true mystery language of commerce, harder to decipher than Navajo) and related symbolism, MICR is easily readable for most humans. On checks, the numbers are broken down with brackets accordingly for the two font formats:

* E-13B: transit, on-us, amount, and dash

* CMC-7: internal, terminator, amount, routing, and an unused character.

End of day, MICR is a fairly simple technology, going strong for decades and sure to continue to serve good purpose.

The Importance of Technology





Technology refers to the collection of tools that make it easier to use, create, manage and exchange information.

In the earlier times, the use of tools by human beings was for the process of discovery and evolution. Tools remained the same for a long time in the earlier part of the history of mankind but it was also the complex human behaviors and tools of this era that modern language began as believed by many archeologists.

Technology refers the knowledge and utilization of tools, techniques and systems in order to serve a bigger purpose like solving problems or making life easier and better. Its significance on humans is tremendous because technology helps them adapt to the environment. The development of high technology including computer technology's Internet and the telephone has helped conquer communication barriers and bridge the gap between people all over the world. While there are advantages to constant evolution of technology, their evolution has also seen the increase of its destructive power as apparent in the creation of weapons of all kinds.

In a broader sense, technology affects societies in the development of advanced economies, making life more convenient to more people that have access to such technology. But while it continues to offer better means to man's day to day living, it also has unwanted results such as pollution, depletion of natural resources to the great disadvantage of the planet. Its influence on society can also be seen in how people use technology and its ethical significance in the society. Debates on the advantages and disadvantages of technology constantly arise questioning the impact of technology on the improvement or worsening of human condition. Some movements have even risen to criticize its harmful effects on the environment and its ways of alienating people. Still, there are others that view technology as beneficial to progress and the human condition. In fact, technology has evolved to serve not just human beings but also other members of the animal species as well.

Technology is often seen as a consequence of science and engineering. Through the years, new technologies and methods have been developed through research and development. The advancements of both science and technology have resulted to incremental development and disruptive technology. An example of incremental development is the gradual replacement of compact discs with DVD. While disruptive developments are automobiles replacing horse carriages. The evolution of technologies marks the significant development of other technologies in different fields, like nano technology, biotechnology, robotics, cognitive science, artificial intelligence and information technology.

The rise of technologies is a result of present day innovations in the varied fields of technology. Some of these technologies combine power to achieve the same goals. This is referred to as converging technologies. Convergence is the process of combining separate technologies and merging resources to be more interactive and user friendly. An example of this would be high technology with telephony features as well as data productivity and video combined features. Today technical innovations representing progressive developments are emerging to make use of technology's competitive advantage. Through convergence of technologies, different fields combine together to produce similar goals.


How the Times Have Changed Technologically



I was travelling to office from my home at Mumbai. I took an AC bus for the extra comfort. The bus usually crowded was surprising almost empty at this hour. As I entered and moved ahead towards my seat, I saw a little kid [probably around 10 yrs old] holding a book-like thing and fiddling with it. On a closer look, I realized that was not a book...IT WAS AN IPAD!! A 10 year old kid playing on an iPad! How the times have changed I thought. . .

Thinking about it, its so true. They say times were much simpler when Orange and BlackBerry where just fruits We have come such a long way, from when the cell phone was of the size of a cordless phone and belonged only to the elite to a time when a device worth more than a phone is easily handled by a kid! One of the 1st cell phones!

I still remember the times when the cell phone had arrived in India. People were charged for incoming calls as well back then. Outgoing call rates were high and you had to think whether you actually need to make the call before you make one. The phone was one of the 1st cell phones almost too big to fit in a pocket. Touch would only refer to the human sensation back then. Nowadays Touch means HTC Wildfire, Nokia 5800, Sony Xperia etc. Another ancient device was the Pager! Which has been conveniently replaced by SMS in mobile phones and Tweets on the Internet!

Times have changed from the monitory standpoint as well. Salaries in the 1970s would range from a few hundreds to 1 or 2 grand. A salary figure in thousands would clearly signify richness. There wasn't modern technology back then. Life wasn't simple, work wise. But wasn't it much more simpler. . .life wise? A small family, a daily job, an income to sustain the family, having dinner with the family being close to you family and relatives. Being a child and playing outdoors, running around and having fun.

What if you could escape everything and go back? Maybe the 70s is too old to go back. But what about your childhood. The times when the most of us were the happiest. School sucked yes, but we dint have so many worries and responsibilities back then. Technology wasn't much used then as it is now. What if you could forget you work troubles, the tension of deadlines, the pressure of submissions, the worry of payscale and the absence of job satisfaction. . . and go back to those times. Maybe only for a day, would you go back to the simple life so void of technology. Would you survive a day without email, without instant messaging, without your quadcore proc PC or without your 7 inch touch tablet. All these things wouldn't be there, but would you really miss it? What would rather have: enjoy the advances of technology at your fingertips OR enjoy the simplicity of childhood. . .I think I'd gladly choose the latter. The times have changed and I wanna go back!

Sometimes I wonder, technology is moving ahead so fast and new devices are being made existing ones are getting smaller with added functionality.

Technology will never stop. We shall keep growing old with the simultaneous advent of new technology. And soon enough we''ll be too old to enjoy it. Kids then, would be so advanced, with all the gadgets they'd have and the new ones they'd get. And for some reason, stupid or not it worries me about how I'd feel when that happens when a kid would use new technology and rub it in cause I'd be too old to be able to use the same. . . How would you feel?

How Does a Projector Work?



Chances are, even if you haven't personally used a projector you've seen one at work at some point. After all, you've been to the movies, haven't you? While a film projector is different from an LCD projector, the basic concept is rather similar. Let's explore exactly how these projection machines work.

Essentially, there are two basic types of projectors: LCD and DLP. Let's take a look at LCD technology first.

LCD stands for Liquid Crystal Display, and is probably the most common type of consumer grade projectors on the market today. If you rent a projector from a rental company, odds are it will be an LCD projector.

Essentially, in an LCD projector, a light is shined through a prism, which splits the light into the three basic colors of light, which then pass through various panels, followed by a lens. The panels are like small LCD screens, which receive encoded signals instructing them on how much of each light should be let through, and at what specific pixel coordinates. The lens focuses the image and projects it onto a surface, where it can then be viewed by the human eye.

Next, let's explore a newer type of projector technology.

The other major type of projector is DLP, which stands for Digital Light Processing. Generally speaking, DLP projectors are considerably more expensive than LCD projectors, and are typically used in commercial operations, such as theaters, museums, universities, etc. DLP technology was created by Texas Instruments, and is a newer, more complex type of technology than LCD; however LCD technology is the standard among consumer users (and even in most corporate settings).

In a DLP projector, light is directed through a spinning color wheel, onto a mirrored chip. This tiny chip is covered without countless miniscule mirrors, which are turned on or off, depending on the signals sent for each corresponding image. This is all done instantaneously, via electrical impulses. Believe it or not, only one color is shown at a time! However, the process is conducted so rapidly in sequence that the human eye cannot detect the separation of colors. In other words, red can be immediately followed by blue so quickly, that all you see is purple! Despite the constant flickering, the final image appears to be constantly lit.

Generally speaking, LCD is the technology of choice for static images and those with a very high contrast, whereas DLP technology is preferred for video because of its inherently vivid colors.

Meet John. John is an IT Professional. John does not enjoy interacting with people. Meet Jane. Jane is a Chief Financial Officer. Jane does not enjoy interacting with technology. John and Jane both work at XYZ Corporation, an engineering firm that consists of 75 employees. Jane has several hours ahead of her entering data into an Excel spreadsheet which then needs to be manipulated and entered into the accounting system; however, she is unable to open any applications-including her e-mail. Jane calls John for assistance but he does not feel like answering so she leaves a message. Let us take a step back and look at what IT is. Information Technology is the development, implementation, and maintenance of computer hardware and software systems to organize and communicate information electronically. In many organizations the role of IT stops once the basic business technologies are implemented such as e-mail, file sharing, printing, and desktop systems. At this point, the focus of IT turns to maintenance of these systems and nothing more. While this approach is adequate for some organizations and appears to have become the norm, a clear disconnect exists between IT and the rest of the organization.

It is my belief that the role of IT should include all the things mentioned above in addition to many other critical functions that will ensure the success of the organization. I typically make it a priority to periodically sit with business users and ask them to show me how they do their job so that I can get a sense of the challenges they encounter. It is not until I understand how a job is being done, and for what purpose, that I can make recommendations for improvement. Once I know their challenges, I can suggest ways to improve or even solve them by utilizing software/hardware technologies. An important role of IT is to be aware of, and understand, the value of new technology solutions available in the marketplace. If a new technology solution can solve a significant business challenge then additional research and evaluation is justified. Making the jobs of business users more efficient through the use of technology is crucial to organizations not only for productivity purposes, but also for allowing more time spent on important tasks and career development. A thorough understanding of what an organization provides its clients (products or services) is essential in developing strategic IT goals for driving business development.

When new business users begin their career at an organization, I enjoy working with them on their first day to not only show them the basics of the organization from a technology standpoint, but also to assist with how to use the software applications they will be using every day. If you are studying Information Communication Technology you need to use some of the following revision techniques to make sure your remember everything that you have learned. Due to this subject being so vast you should start by splitting the topics into smaller bite size chunks. Speak to your teacher or lecturer about what area they think is the best area to study first (or pay more attention to). Of course teachers don't always know what will come up in th exam (but they normally have a pretty good idea). Look at previous ICT papers - most exam papers tend to repeat themselves every three to four years (the questions might not be exactly the same but they are normally pretty similar). Below we have covered some tips on revising this subject (you can use it for most subjects too).

1. Start by purchasing a decent book on the subject - start with a basic book so you get a good idea and the purchase a more advanced book that you can work towards. Ask for advice from your teacher about the books that they recommend.

2. When you have purchased the book that you are going to use - be disciplined - don't procrastinate - give yourself 0-20 minutes and be disciplined do not let anything else divert your attention.

3. Don't skim read - read slowly so that you take everything in.

4. Don't have the radio on or TV - this will distract you.

5. Write notes - write some of your thoughts down. This will enable you to ask yourself questions later and further test your memory.

6. If you have something really important to remember - make it into a story - so for example - if you are trying to remember Megabytes, Gigabytes and Kilobytes - turn it into a story. 'One day I woke up and went down stairs and saw a big Monster (Megabytes) sat in my Sofa, I then went and prepared some breakfast and a Giraffe (Gigabytes) was eating my Porridge - I was so annoyed because my pet Kangaroo (Kilobytes) was scared. It sounds silly but it is proven psychological technique. The crazier the image you have that is in relation to what you have to remember the more likely your brain will member it. By making it into a story this confounds it by linking each of the topics that you need to remember.
